Property Management in Bitrix24: Leases, PDC Cheques and Ejari in One Place

Property management in Bitrix24: leases and Ejari, PDC cheques, owner wallets, maintenance and portals around one dashboard
28 October 2026

How UAE property managers run landlords, leases, post-dated cheques, Ejari, maintenance and owner reporting inside Bitrix24 instead of spreadsheets.

Most property managers in Dubai already run their sales and leasing pipeline in a Real Estate CRM, yet the day-to-day work of managed property, from leases and post-dated cheques to Ejari, maintenance and landlord statements, still lives in spreadsheets and shared folders. This article looks at what it takes to bring property management into Bitrix24, where your contacts and your team already are.

Why spreadsheets break in UAE property management

The UAE rental market has its own paperwork. A single lease can involve several post-dated cheques, an Ejari registration, a security deposit, DEWA and district-cooling transfers and a move-in inspection. Multiply that by a few hundred units and a spreadsheet stops being a system: cheque dates are missed, a bounced cheque is noticed late, an Ejari renewal slips, and the landlord asks for a balance nobody can produce quickly.

One record per unit, linked to your CRM

The starting point is a portfolio that mirrors reality: buildings and units with their type, area in square feet, floor, parking bays, amenities, asking rent and status. With Property Management in Bitrix24, landlords, tenants and vendors are linked to the contacts already in your Bitrix24 CRM, so nobody types a name twice, and each unit has its own page with its commercials, rent per square foot, owner, documents, work orders and change history.

Leases that build their own rent schedule

A lease should do the arithmetic for you. When a lease is created, its rent schedule, with instalments, cheque dates, standard fees and deposits, is built automatically and previewed before saving. A readiness check shows whether the signed contract, the Ejari registration and the security deposit are all in place, and the Ejari certificate is kept on the lease with its number and dates. Move-in and move-out handovers record checklists, meter readings, DEWA and district-cooling transfers and keys, and renewals and terminations, including the deposit settlement, are handled on the same lease.

Post-dated cheques without the shoebox

Post-dated cheques are still a standard way to pay rent in the UAE, and they need a register, not a drawer. Each cheque moves through deposit, clearing, bounce, replacement or return, with the full chain kept on the lease. Payments can also be recorded by cash or bank transfer, including partial payments, and invoices, receipts and credit notes carry VAT through tax profiles. When rent is late, arrears follow-ups record each contact, promise to pay and reminder.

Landlords: agreements, ledgers and payouts

For managed property, the landlord relationship is a contract of its own. Management agreements can carry a fixed or percentage fee, and the fees that fall due are billed against them. Landlord ledgers keep landlord funds, management fees and deposits held apart, and every owner payout is recorded against the landlord it belongs to. Landlords follow their balance, the deposit held, their units, leases and rent collection status in a secure landlord portal, while tenants see their leases, invoices, cheques and documents and submit maintenance requests from the tenant portal.

Maintenance that bills the right party

A work order should know who pays. Work orders carry a priority, can be assigned to your staff or a vendor, collect vendor quotations for approval, keep before-and-after photos, and are billed to the landlord or the tenant. Planned preventive maintenance creates recurring work orders, the vendor register tracks trade categories and expiring documents, and inspections run from checklist templates with a completion report.

Reports and alerts that matter

The reports a property manager is asked for every month should be one click away: rent roll, occupancy and vacancy including rent lost, lease expiry with rent at risk, overdue invoices by ageing, bounced payments, collection efficiency, property management fee income and the VAT return, each exportable to CSV. In-app alerts warn the team about expiring leases and documents, cheques that are due or bounced, and agreements about to expire.

How it fits with your Bitrix24 setup

Property Management sits beside Saabsoft's Property Listing from Bitrix24 module, so the same team can list, lease and manage units in one portal. Staff open it from the Bitrix24 left menu with their Bitrix24 sign-in, and it works with both Bitrix24 cloud and on-premise portals. If your clients include developers selling off-plan, Real Estate Developers in Bitrix24 covers the sales side, and ChatBridge24 brings tenant and landlord WhatsApp conversations into the same CRM.

Working with a Bitrix24 partner in the UAE

As a Bitrix24 UAE partner, Saabsoft installs the module in your portal and sets it up with your team. If you already use Bitrix24 Dubai for sales and leasing, adding property management keeps your landlords, tenants and leads in one place instead of three.

Frequently asked questions

Yes. Each lease holds its Ejari certificate with its number and dates, and flags any lease where Ejari has not been filed yet.

Can landlords see their balance online?

Yes. The landlord portal shows the balance and the deposit held, properties, units, leases, rent collection status and documents, with a secure email-link login.

Does it collect rent online?

No. The module records payments by cash, cheque or bank transfer; it does not process card or online payments.
